This role will enable you to demonstrate outstanding organisational skills to effectively lead the site’s administrative duties to ensure a smooth and efficient running of the operation.

About us

HM Courts & Tribunals Service (HMCTS) is responsible for the administration of criminal, civil and family Courts and Tribunals in England and Wales. Our roles support our service users and colleagues within HMCTS, where people and businesses access potentially life-changing justice. 

Spread nationally over several sites, our Courts, and Tribunal Service Centres CTSCs deliver services through several jurisdictions known as ‘service lines’. These include Social Service & Child Support, Family Public Law, Probate, Crime, Immigration & Asylum, Divorce, Online Civil Money Claims, the Single Justice Service (non-imprisonable offences e.g., no TV license / car tax), and supporting audio video hearings.

Your role

This role will be managed by a Family Operations Manager. The role gives responsibility for the delivery of effective and efficient day-to-day site-specific activities, ensuring accommodation, assets/equipment, health & safety and car park management are dealt with proactively and efficiently to meet the daily functional and operational building needs.

This role will be adapting over time to encompass all the elements required to support the building.

Key Accountabilities

Lead for site administrative duties to ensure a smooth and efficient running of the operation (to include ownership of goods orders).

Point of contact and on-site lead for building support, acting as the lead building champion, raising issues with relevant HQ functions (e.g. IT, Facilities) and ensuring work is carried out to resolve planned and unexpected issues.

Planning regular maintenance and on-site facility work and using the relevant escalation channels to gain resolution, including support with landlord negotiations, working to minimise disruption to service delivery

Support for on-boarding and off-boarding activity for employees in the site, providing administration and maintenance of ID cards, building and systems access, organising and leading health and safety inductions ensuring alignment with relevant HQ security policies.

Organise and support site events, visits and meetings as necessary, arranging agendas and attendees where requested.

Manage, monitor and administer Judgement Register room booking requests, ensuring equipment and resources are available and working when requested.

Local Health & Safety and Fire and Security lead – to include coordination and completion where applicable of Fire and Incident Control Plan, Security Plan, local reporting e.g. completion of regular H&S, fire and security inspections, site specific risk assessments, incident and accident reporting and investigations, managing DSE assessments, ensuring compliance through the Cardinus system and overseeing the coordination and completion of site Risk Assessments.

Responsibility for ensuring cleaning standards are met, the contract responsibilities are adhered to, and any escalations are raised as appropriate.

Responsibility first point of contact for Security, ensuring the contract responsibilities are adhered to and any escalations are raised as appropriate. In addition, conducting regular security checks on inspections.

Key Relationships and Contacts

This role will work with operations teams across the site to ensure the provision of support services to enable the site to function effectively, gathering information and feedback and planning activity to meet site needs. The role holder will exchange information and collate data and reporting information to meet site/HMCTS requirements. The role holder will also work with external contacts to ensure the provision of goods and services continues to meet site needs.

Internal

Operations Manager, DM’s, Deputies and Team leaders on site – gather and collate information for reporting purposes. This may require some analysis and interpretation. Exchanges of information to meet accommodation and Health and Safety needs.

Regional Facilities Manager.

Regional Safety and Security Officer for both National Services and South-East Regions.

County Court Manager and DM for County Court.

Occasionally G6 and G7.

External

·       Contractors, suppliers etc – represent HMCTS in dealings with contractors and suppliers on site, agreeing plans and ensuring work is carried out quickly and efficiently, minimising disruption.

Ways of working

 

This role will be based at Bennett House, Stoke-on-Trent and will be offered on a permanent basis.

The office is open Monday to Friday from 07:30 to 18:00. Standard full time working hours are 37 hours per week. There is an expectation that you can be flexible with your working hours to accommodate the needs of the business.

Due to the nature of the role and business requirements, successful candidates will be required to work full-time. This role is site‑based face to face delivery, with the possibility of occasional, non‑contractual working from home days.

Occasional travel to other courts

For this post, occasional travel to other National Services sites may be required.

Skilled Worker Visa

From 22 July 2025, the Government increased the salary threshold and skills level for Skilled Worker visas. This role does not meet the eligibility criteria for sponsorship in accordance with the current immigration rules if you looking to apply for a Skilled Worker Visa for the first time.

The Department cannot consider sponsoring you for this role unless you have held a Skilled Worker visa continuously since before 22 July 2025. If you have held a Skilled Worker visa continuously, please raise this during your vetting checks and eligibility will be assessed in accordance with the immigration rules and transitional provisions in place.

Working Arrangements & Further Information

The MoJ offers Hybrid Working arrangements where business need allows. This is an informal, non-contractual form of flexible working that blends working from your base location, different MoJ sites and / or from home (please be aware that this role can only be worked in the UK and not overseas). All employees will be expected to spend a minimum of 60% of their working time in an office, subject to local estate capacity.

Some roles will not be suitable for Hybrid Working. Similarly, Hybrid Working will not suit everyone’s circumstances. Arrangements will be discussed and agreed with the successful candidate(s) and subject to regular review.

For nationally advertised role: all successful candidates will be appointed to the nearest viable office nearest to their home postcode and on its respective pay scale.  This will be at either a HQ building (subject to desk allocation, a Justice Collaboration Centre (JCC) or a Justice Satellite Office (JSO) – See Map. All employees will be expected to spend a minimum of 60% of their working time in an office, subject to local estate capacity). 

For current MoJ employees, your base location will need to be changed to the nearest viable office (to your home postcode), either at a HQ building, JCC or JSO within the National Office Network and moved its location’s respective pay scale (any legacy arrangements/locations will need to be amended).

Some of MoJ’s terms and conditions of service are changing as part of Civil Service reform. The changes will apply to staff joining MoJ who are new to the Civil Service. Staff joining MoJ from other civil service employers will transfer onto the new MoJ terms if they are already on 'modernised' terms in their current post or onto 'unmodernised' MoJ terms if they are on 'unmodernised' terms at their current post. Details will be available if an offer is made.

MoJ candidates who are on a specialist grade, will be able to retain their grade on lateral transfer.

All candidates who are currently in receipt of Mark Time / Pay Protection should ensure they are familiar with the new policy on permanent and temporary promotion which can be found on the employee intranet.

Annual Leave

Annual leave is 25 days on appointment and will increase to 30 days after five years’ service.
