Job description

The Courts and Custody Group (CCG) is a specialist team within His Majesty’s Prison and Probation Service (HMPPS), responsible for overseeing the delivery of probation in Court and Prison settings, ensuring effective management of court processes and the secure movement and supervision of individuals in custody.

The Senior Administrative Officer role reports directly to the CCG Business Manager. You will be joining an already established and welcoming team. In addition to working collaboratively with colleagues within the PCSC team you will need to establish effective working relationships with a broad range of internal and external stakeholders.

  • Development and implementation of business administration systems, databases and recording systems to support operational probation delivery.  
  • Preparation and collation of a range of documentation for a variety of purposes to support effective divisional, functional or cluster business activity and operational probation delivery.
  • Provide administration support to the Courts and Custody Group (CCG), including direct support to the Deputy Director and senior leadership within CCG.
  • Contribute to the work of the CCG admin team and ensure smooth transition and clarity of actions.
  • Act as secretariat for CCG working groups, managing risks and issues, action logs, minutes, agendas and other papers.
  • Lead or support the delivery of key CCG projects, such as the implementation of restrictive measures in the Sentencing Bill, This can include project groups, developing and tracking operational plans, and liaising with policy, digital, and operational colleagues.
  • Support CCG-related forums, ensuring effective collaboration with partner agencies and delivery of agreed workplans.
  • Maintain oversight of CCG distribution lists and ensure effective communication across the group and with wider Probation Operations Directorate (POD) teams.
  • Respond directly to communications where appropriate, and act as secretary to relevant meetings, including agenda setting, minute taking, and tracking action points.
  • Maintain and develop effective relationships with the CEO’s office, other Directors General, Ministers, and key stakeholders across the Ministry of Justice and HMPPS.

Qualifications and experience: Requires prior administration experience with management support activities, secretariate, evidence of supporting quality service delivery, NVQ Level 2 or equivalent, GCSEs in English and Maths, and proficiency in Microsoft Office or equivalent IT skills. 

This is a loan opportunity for up to 12 months.

Working Arrangements & Further Information

The MoJ offers Hybrid Working arrangements where business need allows. This is an informal, non-contractual form of flexible working that blends working from your base location, different MoJ sites and / or from home (please be aware that this role can only be worked in the UK and not overseas). Some roles will not be suitable for Hybrid Working. Similarly, Hybrid Working will not suit everyone’s circumstances. Arrangements will be discussed and agreed with the successful candidate(s) and subject to regular review.

For nationally advertised roles, the successful candidate(s) will be appointed to a MoJ office location, which may include their nearest Justice Collaboration Centre or Justice Satellite Office. This will be discussed and agreed on the completion of pre-employment checks.

Some of MoJ’s terms and conditions of service are changing as part of Civil Service reform. The changes will apply to staff joining MoJ who are new to the Civil Service. Staff joining MoJ from other civil service employers will transfer onto the new MoJ terms if they are already on 'modernised' terms in their current post or onto 'unmodernised' MoJ terms if they are on 'unmodernised' terms at their current post. Details will be available if an offer is made. 

Standard full time working hours are 37 hours per week excluding breaks which are unpaid. HMPPS welcomes part-time, flexible and job-sharing working patterns, where they meet the demands of the role and business needs. Annual leave is 25 days on appointment and will increase to 30 days after five years’ service, plus public holidays. Leave for part-time and job share posts will be calculated on a pro-rata basis
