The Estates Directorate offers flexible working subject to local agreement. This post is advertised as Permanent & Full Time, part-time applicants will be considered under job share arrangements.

The unit is supportive of and encourages flexible working and compressed hours candidates will also be considered. Non-civil service candidates would typically start on the pay band minimum.

Overview

The Estates Directorate is a customer focused organisation that exists to enable our customers to perform to their very best. We do this by providing high quality, easy to use services, and working environments that our customers want to work in, which support them to deliver their individual outputs efficiently. Our job is to manage one of the most diverse and complex estates in Government – this is hosted by the Ministry of Justice, and includes the estate of the Home Office, Prisons, Probation, MoJ HQ and Arm’s Length Bodies.

We provide specialist services including facilities management, health & safety, fire safety and security, technical design expertise, and sustainability. We also have business management teams who work in support of the entire Directorate. Each of our partners is supported by account management teams; we are responsible for a great deal – our portfolio consists of properties valued at £8.5bn for the MoJ alone.

Team Overview

The Technical Locking team are a small remote regional based team that sit within the Project Delivery function of the MoJ Estates Directorate. The team provide and manage a service delivery operation that procures, stores, recycles and distributes HMPS locks and locking components to HMPPS and crown courts; providing technical knowledge and advice on all matters related to disclosures and key compromises and providing support to HMPPS on maintaining locking schedule and requisite Management Information (MI) in discharging the locking services contract. 

Job Description, Duties and Responsibilities –

Responsibilities will include the following:

  • Implement and maintain stock location systems and ensure that stock is held in the correct location
  • Unload/load suppliers’ vehicles in a safe and prompt manner
  • Collect and process promptly all goods that are delivered
  • Distribute received goods that are for collection and obtain a signed receipt
  • Manage stock levels in line with management procedures, applying clear mechanisms and processes for tracking, recording and monitoring stock identifying when minimum levels are being reached to re-order accordingly. Participate in bi-annual stock take – including the use of the Inventory system where required.
  • Check all secure lock requisitions for accuracy
  • Operate mechanical handling equipment as required
  • Return goods to suppliers and identify stock for recycling after confirmation from Line Manager/Lock Store Manager   
  • Respond to customer queries from HMPPS on status of orders submitted and deal with outside contractors/suppliers as required
  • Compliance with all PPE and Health & safety statutory regulations
  • Working collaboratively with immediate and wider team to identifying and implement more efficient working practices not administrative processes
  • Some travel to the Project Delivery team location in Canary Wharf may be required 

Expectations of post holder in executing the role

Post Holders are expected to demonstrate the ability to manage customer relationships at all levels across different stakeholder groups e.g. Prison Governors, Senior Managers and Suppliers

The post holder must have or be happy to apply for an Enhanced CRB level of security clearance

Skills and Experience

You should have experience of managing stock information and processes. The role is a physical, operative role.

You should be able to adapt to working practices, environment positively making recommendations for change and improved effectiveness in day to day tasks

You should have experience tackling problems and finding suitable solutions for end customer requirements – understanding and prioritising orders accordingly. 

Essential

  • Ability to handle complex telephone calls and orders, both incoming and outgoing, in a fast-paced environment.
  • Ability to analyse and interpret stock information to make appropriate decisions.
  • IT skills including proficiency in MS Word, Excel and Outlook.

Specialist skills and experience:

  • Experience/knowledge of stock management systems and stock taking

Highly Desirable

  • Ability to work with minimal supervision, taking responsibility for outcomes
  • Knowledge of technical locking components

Qualifications

Desirable to have/willing to obtain fork lift driving qualification.

The role would be suitable for a Business Administration Apprenticeship subject to agreement with any successful candidate.

Full time working pattern of 36hrs Monday-Friday

CTC level National Security Clearance is required for this role. Central Government policy dictates that applicants for National Security Clearance must be a resident in the UK for these minimum periods:

· CTC – 3 years

· SC – 5 years

· DV – 10 years

Working Arrangements & Further Information

Some of MoJ’s terms and conditions of service are changing as part of Civil Service reform. The changes will apply to staff joining MoJ who are new to the Civil Service. Staff joining MoJ from other civil service employers will transfer onto the new MoJ terms if they are already on ‘modernised’ terms in their current post or onto ‘unmodernised’ MoJ terms if they are on ‘unmodernised’ terms at their current post. Details will be available if an offer is made.

Grading Structure Review
