We are dedicated to providing outstanding, customer-centric personnel security services and playing a key role in supporting the department with expert insider risk identification, management, and analysis.

Job summary

MOJ Group Security is looking to recruit a Vetting Co-Ordinator to support us in the delivery of a high-quality Personnel Security and National Security Vetting (NSV) service to the wider MOJ estate.

The post holder will be responsible for providing high quality administrative support to ensure the smooth running of the department, as well as supporting the effective delivery of NSV for all departments across the MOJ and its Agencies.

This is an ‘admin heavy’ role with two prominent workstreams, Vetting Operations and Vetting Aftercare.

Vetting Operations is responsible for the end-to-end process of NSV applications from sponsoring and issuing links, transferring clearances in and out of the MoJ and granting clearances for all non-adverse cases in line with the MoJ’s risk appetite, writing up referrals with your recommendations for adverse cases to be reviewed by the HEO/SEO.

Aftercare is the term used for the management of effective personnel security. Its purpose is to investigate and monitor anything of continuing security concern, between periods of normal review, which could affect an individual holding a security clearance. You’ll support the HEO with all aftercare requirements which includes annual reviews of all DV clearances which has been added to a clearance when granted, this will include issuing questionnaires and when applicable conducting interviews and writing up referrals with your recommendations to be reviewed by the HEO/SEO

Maintaining the NSV-Team and Overseas Security functional mailbox and answering all queries escalated by the AO’s.

Successful candidates will be matched to roles based on which they are most suitable, however all EO’s will be expected to cross-skilled in all NSV workstreams and understand all areas of the business.

Responsibilities, activities, duties

Line Management and leadership


  • Line manage at least 1x AO


Decision Making


  • Review and action all adverse cases returned from UKSV risk assessing and triaging against the vetting framework and MoJ risk appetite and tolerance, making recommendations to refuse or grant clearance with caveats/aftercare

  • Evaluate and action all clearances where Aftercare has been placed assessing against all relevant information held, mitigating all risk and determine if further aftercare/action is required for the clearance holder to retain their clearance.

  • Assess and approve DV requests


Administrative Support


  • Provide high quality administrative support to the department and relevant senior managers

  • Support the Vetting Administrators to ensure that the NSV Team’s mailboxes are managed appropriately and that all queries are responded to in a timely and professional manner

  • Manage the functional mailboxes and ensure all emails are responding to in a professional and timely manner, answering any escalated or difficult queries flagged

  • Support effective communications of policies, processes and guidance to all relevant stakeholders ensuring all processes are agreed and implemented

  • Assume responsibility for updating the NSV SharePoint HUB, NSV policies and processes

  • Assess and approve policy dispensation requests, such as Residency and onboarding at risk

  • Support in maintaining the Aftercare requirements once DV clearance has been issued.

  • Supporting the Overseas Security HEO and maintaining the mailbox

  • Administrate the department’s security incident management tool (ServiceNow)

  • Contribute to the effective planning, delivery of other projects and administrative tasks, as necessary

Essential skills/experience

  • An understanding of the principles of data protection and a strong commitment to confidentiality and discretion when handling sensitive personal or organisational data.

  • Proven ability to work with high accuracy and attention to detail

  • Excellent communication skills, written and spoken

  • Experience in supporting colleagues in a team environment to achieve set objectives

  • Experience of working under pressure handling multiple tasks and prioritising your own workload

  • Experience in customer service and or stakeholder engagement

  • A high level of competence with MS Office365 products, including MS Word and MS Excel.

  • A proven ability to deliver an ‘at volume’ service consistently and at pace, whilst adhering to service and policy standards.

  • A willingness to undergo National Security Vetting in order to achieve SC, including ongoing adherence to the standards and behaviours expected of a clearance holder. National security vetting: clearance levels - GOV.UK

Desirable skills/experience

  • A background in personnel security, particularly a knowledge of National Security Vetting processes and/or pre-employment screening and administration tasks.

  • A proven ability to deliver an ‘at volume’ service consistently and at pace, whilst adhering to service and policy standards

  • Experience in managing a mailbox.

  • Experience of and a high level of competence in, administrative tasks gained through working in an office-based or other relevant environment (private/public sector).

  • An understanding of the principles of data protection and a strong commitment to confidentiality and discretion when handling sensitive personal or organisational data
