Overview of Security and Information Directorate (SID)

SID is part of the Service Transformation Group. The Group oversees the building of a strategic vision for modernising and digitising our legacy systems, generating a coordinated plan across the MoJ and its agencies for transformation, and tracking delivery of this transformation.

Security and information management are fundamental building blocks of enabling the department to deliver. We have highly skilled experts working collaboratively with the department, Government Security Group, Government Knowledge and Information Management profession and other partners to enable the whole of the MoJ to function securely, lawfully and transparently.

We identify, manage, and mitigate MoJ’s security, data protection and information risks, and provide assurance against those risks. We’re also home to the Counter Fraud Centre of Expertise. Part of our mission is to up-skill the department so that security becomes second nature to our people and partners.


Team Profile

The SID Central Office works across SID to provide high quality assurance and governance to the Director of SID, the Strategic Transformation Group and beyond. The role sits within the Director’s Office side of the team.

Our primary objective is to ensure SID objectives are assured and delivered to enable data driven, evidence-based decision making at all levels. 

Summary

The Director’s Office provides the essential backbone of support that enables the Director and the wider directorate to operate efficiently. Its core purpose is to coordinate, streamline and enhance the business functions of the directorate, ensuring that teams are equipped with the right information, capability and guidance to deliver on organisational priorities.

The office acts as a central hub for planning, communication and assurance, offering high quality administrative, analytical and operational support. It plays a key role in upskilling staff, strengthening processes, and enabling effective use of systems. (SOP, Avature, Fieldglass)

By bringing clarity, structure and coordination to directorate-wide activity, the Director’s Office ensures that the directorate is well supported to meet its business needs and deliver consistent, high impact outcomes.

Responsibilities,

Activities and Duties

The job holder will be required to carry out the following responsibilities, activities, and duties:

Business Administration

  • Manage the SID Business Office mailbox with a one-day SLA—acknowledging, responding, prioritising and escalating queries appropriately.

  • Act as a central communication point for the Business Manager, ensuring clarity and consistency in messaging.

  • Coordinate meetings, prepare agendas, take minutes, and ensure timely follow-up actions.

  • Organise, file, and maintain business documentation, ensuring accuracy and confidentiality.

Business Operations & Stakeholder Interaction

  • Maintain strong working relationships with SID managers and build networks across the directorate to support collaborative work. [

  • Manage correspondence with internal and external stakeholders via the SID mailbox.

  • Maintain and update the SID Organogram, ensuring monthly updates and quarterly recirculation.

Recruitment & Vacancy Support

  • Support the Vacancy Manager with administration of vacancies, including distributing applications, collating sift scores, and managing uploads through the recruitment portal.

  • Coordinate, organise, and monitor recruitment campaigns, ensuring vacancy holders are kept updated throughout.

  • Support the Directorate with contingent labour recruitment where necessary, ensuring compliance with end-to-end processes.

Keyholder Secretariat Support

  • Lead the keyholder secretariat process, including coordinating returns, liaising with teams, preparing submissions, and ensuring timely responses to MoJ assurance teams.

Financial Support

  • Support SID on raising purchase orders (PO’s), receipting, and managing the Purchase to Pay process for SID.

  • Track and manage ongoing PO’s and Manual Payments (MPA’s)

  • Raise new supplier and MPA requirements as required.

Essential Skills

  • Strong organisational skills, with the ability to prioritise and manage multiple tasks efficiently.

  • Confident communicator with the ability to engage effectively with stakeholders at all levels.

  • Ability to work with MS Office, including Teams, Outlook, Excel, Word and Power Bi.

  • Ability to review and improve processes, offering constructive feedback and embracing change

  • Sound judgement and the ability to make fair, timely, evidence-based decisions.

  • Proactive problem-solving skills with attention to detail.

Minimum Eligibility

▪ All candidates are subject to security and identity checks prior to taking up post.

▪ All external candidates are subject to a minimum of 6 months’ probation. Internal candidates are subject to probation if they have not already served a probationary period within MoJ.
